The City Clerk attends the meetings of the Board of Commissioners of the City of Shawnee and keeps record of the proceedings at every meeting of the board.
The City Clerk’s office is responsible for preparing the meeting agenda and issuing the agenda packets to the appropriate personnel and maintaining the proper records of Commission Minutes.
City Commission meetings are held in the Commission Chambers at City Hall on the first and third Mondays of each month, except if it falls on a holiday, then it is held the following Tuesday.
The City Clerk’s Office is the official records keeper of all official city documents.
Record Keeping and maintaining files include the following:
- Ordinance and resolution indexes. All ordinances and resolutions passed by the Board of Commissioners are filed in the city clerk’s office and a separate index book listing the ordinances and resolutions are maintained in the office.
- The official Code of the City of Shawnee, Oklahoma.
- Cemetery register of the Fairview Cemetery are recorded and maintained in the office of the City Clerk. Entries of lots and blocks are registered. View and search the Online Records. Note that the Online Records are not up to date and from the old system.
